USA Archery National Events Manager Job Vacancy in USA



COLORADO SPRINGS, Colo. - USA Archery seeks a National Events Manager, who will report to the organization's CEO. The National Events Manager will manage all aspects of the organization's events. POSITION TITLE: National Events Manager
REPORTS TO: CEO

SUMMARY: 
Reporting to the CEO, the National Events Manager manages all aspects of USA Archery’s (USAA’s) events including, but not limited to, event schedule, sanctioning, bids, contracts, results, coordination of judges, awards, national and world records, reporting and general customer service.

GENERAL DUTIES:
  • Responsible for annual bid packages and distribution to all appropriate clubs, sports commissions and other entities interested in bidding for events.
  • Prepares and administers all Promoter Agreements after bids have been allocated and approved. Coordinates contract details with the CEO and obtains all necessary signatures and distributes final signed copies of the Promoter Agreement.
  • Responsible for the oversight of USAA event organizers (including registration packets, event website and event promotion) and integrity of USAA events.
  • Responsible for all management and logistics coordination for the National Target Championships and JOAD Nationals, and any other USAA-run event.
  • Responsible for the awards ordering and distribution for all USA Archery National Championship events.
  • Works with Membership Coordinator to ensure that registration and membership verification are handled in an effective and efficient manner.
  • Reviews and approves all sanctioning requests, including working with World Archery on Star FITA requests.
  • Coordinates with World Archery on any World Record claim
  • Reviews and approves all National Records and maintains National Record Database
  • Ensures that events have necessary Judges present, coordinates contracts and approves any payments to Judges.
  • Ensures that promoters, volunteers and participants sign all appropriate releases related to the events.
  • Ensures the office receives all official results and coordinates with Public Relations to get results, stories and pictures online.
  • Maintains records of event participation, scorecards and any other event-related documents that pertain to the USAA document retention policy.
  • Prepares, distributes and collects event evaluation forms from organizers, judges and athletes.
  • Coordinates the shipment and placement of USA Archery and USA Archery sponsor banners and other promotions at events.
  • Coordinates the shipment, maintenance and inventory of all USA Archery event equipment.
  • Coordinates the activities of the scoring team and any programming or other needs related to the scoring team and scoring system.
  • Coordinates with other archery organizations to ensure effective scheduling and minimizing of event overlap.
  • Due to the size and small number of employees in the National Office, various requirements may arise that requires the CEO to assign duties that may not be specified in this job description.
TOOLS/EQUIPMENT:
      Standard office equipment

CONDITIONS:
  • Office environment in Colorado Springs, CO or Chula Vista, CA (home office is an option)
  • Extensive travel will be required
MINIMUM QUALIFICATIONS:
  • Bachelor’s degree in Sports or Recreation Administration, Event Management, Marketing or something similar is preferred.
  • Demonstrated leadership and supervisory experience
  • Minimum three (3) years experience in event/tournament management
  • Understanding of archery tournaments and rules preferred
  • Exemplary organizational skills and attention to detail
  • Proven ability to manage multiple projects and priorities
  • Excellent written and verbal communication skills
  • MS Office and Excel proficiency
  • Strong team building orientation
  • Creative thinker and innovator
  •  Supports transparency, ethical decision making and always acts with the highest degree of integrity
