Program Assistant, Scholarships Program, Open Society Foundations, USA

Investor and philanthropist George Soros established the Open Society Foundations, starting in 1984, to help countries make the transition from communism. Our activities have grown to encompass the United States and more than 70 countries in Europe, Asia, Africa and Latin America. Each Foundation relies on the expertise of boards composed of eminent citizens who determine individual agendas based on local priorities.

The Scholarship Programs (SP) supports students, scholars, and professionals from around the world to engage in rigorous, competitive academic programs outside of their home countries. The goals of these programs are: to revitalize and reform the teaching of the social sciences and humanities at higher education institutions; to provide professional training in fields unavailable or underrepresented at institutions in the countries served; and to assist outstanding students from a range of backgrounds to pursue their studies in alternative academic and cultural environments.

Working under the supervision of Program Managers, the Program Assistant will provide administrative support in the coordination of the following Scholarship Programs: SP Pre-Academic Summer Program (“Summer School”), the South Asia Scholarship Program, and scholarship development for Africa.

The SP Pre-Academic Summer Program involves two four-week summer schools based in Istanbul of approximately 100 students each that prepare recipients of SP fellowships for graduate-level study or faculty exchange programs in the United States, Europe and Asia. The curriculum is an integration of English language academic writing courses with intensive social science courses.

The South Asia Scholarship Program provides funding to qualified students from Afghanistan and Nepal to pursue Masters level programs in the humanities, social sciences and law at accredited universities in India, Hong Kong, and the UK.

Purpose of Position: Provide administrative and programmatic support to support assigned OSI initiatives. Work is carried out under general supervision.

Essential Duties and Responsibilities include the following. OSI may add, change, or remove essential and other duties at any time.
• Provide administrative support to the Director and/or Program Manager(s);
• Perform clerical duties, including: responding to incoming calls and requests from the general public; faxing and photocopying; preparing expense reports; and generally assists in program administration;
• Draft/edit routine correspondence and memoranda, sends standard letters to grant applicants, ensure that grant documentation, supporting documentation and docket memos are in order;
• Assist in scheduling appointments and calls, and arranges travel and meetings for staff and grantees, including coordinating with host universities and conference organizers;
• Organize logistics of meetings and workshops (travel arrangements, materials, minutes);
• Process and track contracts and grant payment requests for program initiatives;
• Review grant applications and grant reports as requested to ensure documentation is complete;
• Coordinate with grants management, and follow up with grantees on overdue reports;
• Maintain and update working files and databases;
• Perform other duties as assigned.

Education/Experience: Bachelor’s degree from a four-year college or university, and one to three years of relevant experience or training; or equivalent combination of education and experience.
• NGO or foundation experience/interest in human rights preferred.

Skills Required:
• Excellent written, verbal, organizational, analytical and interpersonal skills;
• Excellent computer skills, proficient in Microsoft Office;
• Excellent listening and communication skills with sensitivity to cultural communication differences;
• Show discretion and ability to handle confidential issues;
• High level of self-motivation and at ease working independently when necessary;
• Poised and works well under pressure;
• Attentive to detail and prioritize often simultaneously on a wide range of tasks and projects;
• Flexibility and willingness to work simultaneously on a wide range of tasks and projects and ability to prioritize tasks;
• Pleasant, diplomatic manner and disposition in interacting with senior management, co-workers and the general public.

Work Environment and Physical Demands:
Essential functions are typically performed in an office setting with a low level of noise. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Program Specific Requirements:
• Experience in program administration;
• Experience in international education administration;
• Experience with conference and event planning;
• Flexibility to work across a broad range of issues and regions;
• Overseas study/work/travel experience;
• Strong personal or academic interest in international education preferred;
• Knowledge of relevant second language preferred.
